Before you begin

  • A Personal Availability Link shared by the host

A Personal Availability Link lets you choose from times a host is prepared to offer. You do not need to compare calendars or send a list of possible times back and forth. Open the link, choose an available start, answer the booking form, and read the result before closing the page.

The host’s private calendar remains private. You see bookable openings, not the Events, Tasks, other bookings, or personal details that removed the other times.

What can I do as an invitee?

You can:

  • open an eligible link shared by the host;
  • review the appointment, duration, location, and public instructions;
  • see openings in your browser timezone;
  • choose an available date and time;
  • enter the required contact details and custom answers;
  • request one or more seats when the link is a group booking; and
  • receive either an immediate confirmation or a pending-approval result.

You cannot currently:

  • view why another time is unavailable;
  • see the host’s calendars, Events, Tasks, or other invitees;
  • join a public waitlist;
  • choose or change the assigned host;
  • cancel or reschedule from a public booking-management page; or
  • edit the booking after submitting it.

If your plans change after booking, contact the host through an existing trusted channel.

Do I need a Harmonise account?

It depends on how the host shared the link.

Unlisted No account is normally required; you need the direct URL.
Private You must already be signed in to Harmonise.
Email or domain allowlist You must be signed in with an eligible active email.

The public booking page does not currently provide a dedicated sign-in handoff. If a restricted link appears not found, sign in to the eligible Harmonise account first and then reopen the URL.

Typing an allowed email into the booking form does not unlock a restricted link. Access is checked against the signed-in account.

Book a time

  1. Open the exact URL the host shared.
  2. Review the appointment title, description, duration, location, and any public instructions.
  3. Confirm the timezone shown on the page.
  4. Choose a date.
  5. Choose an available start time.
  6. Select Confirm time.
  7. Enter your name and email.
  8. Complete any required phone, message, custom questions, or group attendee count.
  9. Select Book this time.
  10. Complete the visible security check when the page asks for it.
  11. Read the booking result before closing the page.

The result is normally one of these:

  • Booking confirmed means the link uses automatic confirmation and your request passed the final checks.
  • Booking request sent means the host uses manual approval. The requested time and capacity remain held while the booking is pending, and the host must approve or decline it.

The confirmation screen is the immediate source of truth. Email or other notifications may follow when the host enabled them and delivery is available, but notification failure does not undo a committed booking.

How available times are chosen

The host begins with regular weekly hours and any exceptions for particular dates. Harmonise then removes times that do not fit the appointment or its rules.

A time may be removed because of:

  • the appointment duration or start increment;
  • minimum notice or the future booking range;
  • a buffer before or after another booking;
  • a busy or tentative Event;
  • a scheduled Task;
  • a daily or total booking limit;
  • another booking; or
  • remaining group capacity.

You see only the result. Harmonise does not tell you which private Event, Task, calendar, booking, or provider caused the conflict.

A displayed time is not a reservation. Harmonise checks the link, access, notice, conflicts, limits, and capacity again when you submit the form. Another person or a new calendar commitment can make the selected time unavailable in the meantime.

Timezones

The host defines their availability in one booking timezone. The public page detects your browser timezone and displays the corresponding local times. If your timezone differs from the initial result, the page refreshes the available times.

Confirm the timezone and final timestamp before booking, especially when you and the host are in different regions. During daylight-saving changes, a local time that does not exist is skipped rather than offered.

Complete the booking form

Name and email are required for every current booking. The host may also ask for:

  • a phone number;
  • a message or notes;
  • a short or long written answer;
  • one choice from a list;
  • several choices from a list; or
  • the number of attendees for a group booking.

Required answers must be completed, and choice answers must use the options the host provided.

Share only information that is appropriate for the appointment. Do not enter passwords, one-time codes, full payment-card details, or sensitive medical or identity information into an ordinary booking form. The link owner can see the contact details, message, attendee count, and custom answers saved with the booking.

Group bookings

A Group Personal Availability Link offers several seats at the same start time. Enter the number of people included in your request.

Your request cannot exceed:

  • the maximum guests allowed in one booking; or
  • the seats still available at that start time.

Confirmed and pending-approval requests both consume active capacity. If there are not enough seats left, reduce the attendee count or choose another time.

The link may store a waitlist preference, but the current public page does not provide a separate waitlist-join action. A Group link also does not collect a separate availability grid from every attendee; it offers capacity at times the host has already made bookable.

After you submit

Keep the result page open until you know whether the booking is confirmed or pending approval.

A confirmed booking may create a related Event in the host’s calendar. If the page reports that calendar Event creation could not be confirmed, keep the booking result and contact the host rather than submitting several different bookings for the same appointment.

The link can carry cancellation and rescheduling policies, notice periods, and a cancellation message. The current public experience does not yet provide a secure self-service action for either change. Contact the host if you can no longer attend or need a different time.

What stays private?

The public booking experience must not expose:

  • the host’s calendar details;
  • the title, description, calendar, or Task list of a conflicting item;
  • other invitees or their answers;
  • internal capacity records;
  • provider credentials or private provider information; or
  • unrestricted owner information.

Public appointment information may include the host’s chosen title, description, duration, location instructions, cancellation message, and other details needed to understand the booking.

Common problems

Check that the URL is complete and came directly from the host. A link may also appear not found when it is Paused, expired, Archived, at its total booking limit, restricted to another account, or no longer available.

For a Private or allowlisted link, sign in to the eligible Harmonise account and open it again. The same not-found message protects the host’s access rules from being disclosed.

No times appear

Try another date within the range shown. The host’s schedule, notice, limits, conflicts, buffers, or remaining capacity may leave no eligible starts. Contact the host if no suitable times are available.

The form is rejected

Complete every required field, use a valid email address, select only the provided choices, and keep a group attendee count within the displayed limit. Complete the security check when it appears.

The selected time became unavailable

Another booking or new conflict may have taken it. Refresh the available times and choose another start. For a group booking, reducing the attendee count may also help when only some seats remain.

Too many requests

Wait before trying again. Repeated submissions can trigger temporary abuse protection.

I am not sure whether the booking succeeded

Keep the same form details and retry once. Harmonise safely checks an exact retry so that an uncertain result does not intentionally create a second booking. If the result remains unclear, contact the host before choosing a different time or submitting different details.
