Manage connected calendars

Manage visibility, provider updates, access, synchronization, disconnection, repair, and privacy for external calendars.

Use this guide after connecting a provider account. It explains what appears in Harmonise, what continues to update, what you can change, and how to disconnect or repair an account safely.

Visibility and synchronization

Visibility and synchronization answer different questions:

Visibility Sync Result
Visible Enabled The calendar appears in planning views and continues receiving supported provider Event updates.
Hidden Enabled The calendar is removed from normal views but continues receiving supported provider Event updates.
Visible Off The calendar can remain in views with its last available information, but it no longer receives provider updates.
Hidden Off The calendar is removed from normal views and no longer receives provider updates.

Hiding does not delete provider data, disconnect the account, or stop updates. Turn Sync off when only one calendar should stop receiving provider updates. Choose Disconnect to stop the complete provider account.

On mobile, open Settings > Calendars, choose Edit, adjust the calendar controls, and choose Save. On web, open Settings > Calendars, choose Edit, use Visible and Sync, then choose Save.

Refresh calendars or synchronize Events

These actions solve different problems:

Action Use it when
Refresh calendars The provider’s calendar list or access permissions changed.
Sync now Events changed in calendars that are already discovered and have Sync enabled.

Choose Refresh calendars after creating or removing a provider calendar, receiving new sharing access, or changing from view-only to editable access. Refresh is not a repair for revoked account access.

To refresh on mobile, open Settings > Calendars, find the account under Calendar integrations, choose Refresh calendars, and wait for the list to reload. On web, open Settings, find the account, choose Refresh calendars, and wait for the account card and calendar list to reload. Choose Edit afterward if you need to change visibility, synchronization, default, or order. Only calendars created in Harmonise can have their name or colour changed in the Calendars editor; use the account card’s mapping control to change a destination.

Choose Sync now to retrieve provider Event creates, edits, and deletions for calendars with synchronization enabled, including hidden calendars. Find the account under Calendar integrations, choose Sync now, and wait for the account and Event data to reload before checking the Event again.

Sync now does not discover a new provider calendar, turn synchronization on, change visibility, repair revoked access, or send Harmonise Tasks to an external task product. Harmonise can also check provider changes in the background, but provider processing may delay an update.

Writable external calendars

An external calendar is writable when the provider grants the connected account edit access and Harmonise does not mark it Read-only.

Supported Event details can include title, description, dates and times, all-day status, timezone, location, recurrence, reminders, organizer, attendees, and attendance responses. Exact fields and actions depend on the provider, Event, access, and whether you are creating, editing, or deleting it.

  • To create an Event, choose a writable external calendar in the Event composer. Harmonise sends the supported change to the provider after accepting the save.
  • Mobile and web can edit and delete writable external Events. On web, open the Event inspector and choose Edit event. A recurring Event may ask whether the change applies to one occurrence, this and following occurrences, or the entire series.
  • Read-only Events cannot be edited or deleted in Harmonise. Ask the provider owner for edit access or create your own Event on a writable Harmonise calendar.
  • Tasks remain Harmonise items. Choosing an external calendar for a Task does not create an item in Google Tasks, Microsoft To Do, Apple Reminders, or another external task product.

Do not recreate an Event while a provider change is still synchronizing, because the original Event may update later and leave a duplicate.

If a provider write fails, confirm that the account is Connected, the calendar has Sync enabled, and it is still writable. Choose Refresh calendars after a provider permission change, and avoid repeating a create or delete action until you know whether the first request succeeded.

Read-only and subscribed calendars

A calendar is read-only when the connected account can view it but cannot edit it. This commonly includes public holidays, ICS subscriptions, shared calendars with view-only permission, and restricted organization or resource calendars. Google public holiday calendars are always read-only in Harmonise.

You can make a read-only calendar visible, include it in filters, and use its Events as planning context. A hidden calendar with synchronization enabled continues to update. A subscription normally remains read-only, so use a writable Harmonise calendar for your own Events and Tasks.

You cannot select a read-only calendar as the default, create an Event or Task on it, or edit or delete its provider Events through Harmonise. Ask the calendar owner or organization administrator for provider-level edit access, then choose Refresh calendars after the permission changes.

Disconnect an account

Disconnecting affects the whole provider account. Hide calendars to reduce noise while keeping updates, or turn Sync off for one calendar when only that calendar should stop updating.

On mobile, open Settings > Calendars, find the account under Calendar integrations, choose Disconnect, and confirm the provider-specific prompt. On web, open Settings, find the account, choose Disconnect, and confirm the dialog.

After disconnection:

  • provider discovery and Event updates stop;
  • the provider’s calendars and Events remain unchanged at Google, Microsoft, Apple, Yahoo, or CalDAV;
  • an offline device may continue showing its cached version until it comes online;
  • unsynchronized Harmonise changes are retained and flagged for attention.

To revoke provider-side access as well, remove Harmonise from the Google or Microsoft account’s connected-app settings, revoke the Apple app-specific password, revoke the Yahoo app password, or use the provider’s account security controls for CalDAV.

Reconnect or repair an account

Reconnect when an account shows Error or Revoked, repeated synchronization reports an authentication problem, credentials expire, or the provider says Harmonise access was removed. Refresh calendars handles calendar-list and permission changes, while Sync now handles stale Events; neither repairs invalid credentials.

For Google or Outlook Calendar, disconnect the broken account card if it still offers that action, start the connection again, select the same identity, and approve access. A Microsoft work or school account may require administrator consent.

For Apple, Yahoo, or CalDAV, choose Replace credentials when it is shown, or disconnect and reconnect with the current provider credentials. Apple requires an Apple app-specific password; Yahoo requires a Yahoo-generated app password. Never enter your normal Apple Account or Yahoo account password when the app asks for an app password.

Reconnecting the same identity restores its discovered calendars and Events after synchronization. Do not recreate apparently missing provider Events during repair, because the provider versions can return and leave duplicates.

Privacy and permissions

Harmonise uses provider access to discover calendars, display Events, understand scheduling context, and make supported Event changes where the connected account has edit permission. Google and Microsoft show the access request during provider sign-in. Apple and Yahoo use app passwords, and CalDAV uses the server details and credentials you enter.

Harmonise does not show provider passwords or app passwords in calendar settings. Never include passwords, app-specific passwords, sign-in links, or verification codes in a support message. Share only the provider name, visible status, platform, and safe error wording.
