Use Harmonise with WhatsApp

Connect Harmonise to WhatsApp to quickly capture Events and Tasks while you are already in a conversation.

Once connected, you can send Harmonise a message describing what you want to add. Harmonise can ask for any missing details, show you a preview, and create the Event or Task after you confirm it.

You can also receive selected Harmonise notifications and a daily summary of your plans through WhatsApp.

Anything you create through WhatsApp is saved to Harmonise, so your plans stay together wherever you use Harmonise.

What you can do with WhatsApp

With Harmonise connected to WhatsApp, you can:

• Create Events and Tasks using ordinary messages
• Answer follow-up questions when more information is needed
• Review an Event or Task before it is created
• Receive Inbox notifications
• Receive a daily summary of your plans
• Continue managing everything from the Harmonise app

WhatsApp is designed to make it easy to capture a new plan when it comes to mind.

For browsing your calendar, reorganising plans, or making changes to existing Events and Tasks, use the Harmonise app.

Connect WhatsApp

You can connect WhatsApp from your Harmonise settings.

On mobile

1. Open Settings in Harmonise.
2. Select Messaging integrations.
3. Select Connect WhatsApp.
4. Choose Open WhatsApp, or copy the connection command if you want to open WhatsApp manually.
5. Send the connection command to the Harmonise WhatsApp conversation.
6. Return to Harmonise and select Check connection if the connection has not updated automatically.

Once connected, your WhatsApp settings will appear under Messaging integrations.

Create Events and Tasks

Once WhatsApp is connected, you can describe what you want to add in an ordinary message.

For example:

Create a Task to call the dentist tomorrow at 9 AM.

Or:

Add an Event called Dinner with Sarah this Friday from 7 PM to 9 PM.

Or:

Create a Task to submit my expenses by Friday at 5 PM on my Work calendar.

Harmonise will use the information in your message to prepare the Event or Task.

Answer follow-up questions

You do not need to include every detail in your first message.

If Harmonise needs more information, it will ask you a follow-up question.

For example:

You: Add dinner with Sarah on Friday.

Harmonise: What time is dinner?

You: 7 PM.

Continue answering in the same conversation until Harmonise has enough information to prepare the Event or Task.

Review before creating

Harmonise shows you what it understood before creating an Event or Task.

For example:

You: Create a Task to call the dentist tomorrow at 9 AM.

Harmonise: Create Task “Call the dentist”, scheduled tomorrow at 9 AM on Personal?

You: Confirm

Review the preview before confirming it.

Check details such as:

• The title
• Whether it is an Event or Task
• The date and time
• The calendar
• Any other details you provided

Reply Confirm when everything looks right.

Reply Cancel if you do not want to create it.

Nothing is created until you confirm the preview.

What can I create?

WhatsApp is currently intended for creating new Events and Tasks.

Depending on your request, you can include details such as:

• A title
• A date
• A start time
• An end time or duration
• A due date
• A scheduled time
• A calendar
• A location
• A reminder
• Whether something repeats

You do not need to provide every detail. Harmonise can ask you for information when something important is missing.

Managing existing Events and Tasks

WhatsApp is mainly designed for capturing new plans.

Editing, deleting, searching, completing, or reorganising existing Events and Tasks may not be available through the WhatsApp conversation.

Open Harmonise when you want to manage an existing Event or Task or browse more of your schedule.

Guided creation

Coming soon: WhatsApp will also support guided Event and Task creation.

Instead of describing everything in one message, you will be able to start a guided flow and provide the details one step at a time.

The planned commands include:

/confirm	Confirm the current preview
/cancel	Stop the current creation flow

Until guided creation is available, simply describe the Event or Task you want to create in a normal WhatsApp message.

Receive Harmonise notifications

WhatsApp can also be used as an additional place to receive updates from Harmonise.

You can manage these options from:

Settings → Messaging integrations → WhatsApp

Inbox notifications

Turn on Inbox notifications to receive selected Harmonise Inbox updates through WhatsApp.

Receiving an Inbox notification in WhatsApp does not automatically mark the corresponding item as read, accepted, completed, or dismissed in Harmonise.

Open Harmonise when you need to respond to or manage the Inbox item.

Daily summary

Turn on Daily summary to receive an overview of your plans at a time you choose.

Your summary can include things such as:

• Today’s Events
• Scheduled Tasks
• Tasks due today
• Overdue Tasks
• Relevant Inbox updates

Choose your Summary time from the WhatsApp integration settings.

Your summary follows your Harmonise account timezone.

If you change your timezone, check that your preferred summary time is still correct.

The daily summary is simply another view of your Harmonise plans. Receiving a summary does not create or change any Events or Tasks.

Manage your WhatsApp connection

After connecting WhatsApp, return to:

Settings → Messaging integrations → WhatsApp

From here, you can manage options such as:

• Creating Events and Tasks from messages
• Inbox notifications
• Daily summaries
• Your summary time

You do not need to reconnect WhatsApp each time you change these settings.

Disconnect WhatsApp

You can disconnect WhatsApp from the WhatsApp integration settings in Harmonise.

Disconnecting WhatsApp stops that conversation from accessing your Harmonise integration and stops future WhatsApp deliveries.

It does not delete:

• Your Harmonise account
• Your calendars
• Your Events
• Your Tasks
• Your Inbox items

You can connect WhatsApp again later from Messaging integrations.

Privacy and security

Your WhatsApp connection is linked to your Harmonise account, so only connect a WhatsApp account you control.

Keep your connection command private and do not share or forward it.

Avoid sending passwords, verification codes, access tokens, financial information, or other sensitive credentials through the Harmonise WhatsApp conversation.

Your Events and Tasks remain part of your Harmonise account even when they are created through WhatsApp.

Troubleshooting

My connection command expired

Return to:

Settings → Messaging integrations → Connect WhatsApp

Generate a new connection command and send the new command through WhatsApp.

Expired connection commands cannot be reused.

WhatsApp is still showing as not connected

Make sure you sent the entire connection command to the Harmonise WhatsApp conversation.

Then return to Harmonise and select Check connection.

If the connection still does not appear, try generating a new connection command.

Open WhatsApp is unavailable

You can copy the connection command and open WhatsApp manually.

If WhatsApp integration is not currently available for your Harmonise environment, you may need to try again later.

Harmonise asked me a question instead of creating my Event or Task

This usually means Harmonise needs more information before it can prepare the Event or Task.

Answer the question in the same WhatsApp conversation.

Once Harmonise has enough information, it will show you a preview to review.

My Event or Task was not created

Check whether Harmonise is waiting for:

• An answer to a follow-up question
• Your confirmation
• A new request after an earlier request was cancelled or expired

If you already confirmed the request but are unsure whether it was created, check Harmonise before sending the same request again.

I cannot edit or complete something through WhatsApp

Managing existing Events and Tasks may not be supported through the current WhatsApp integration.

Open Harmonise to edit, complete, delete, search, or reorganise your plans.

A guided command is not working

Guided WhatsApp commands such as /create_task and /create_event are coming soon.

For now, describe what you want to create in an ordinary message.

For example:

Create a Task to buy groceries tomorrow at 6 PM.

My daily summary arrived at the wrong time

Check:

• Your Harmonise account timezone
• Your WhatsApp Summary time
• Whether you recently changed your timezone or messaging settings

The summary time follows your Harmonise account timezone.

WhatsApp stopped responding

You can continue using Harmonise normally even if WhatsApp messaging is temporarily unavailable.

Check the WhatsApp connection in Messaging integrations and try again later.

Avoid repeatedly creating the same Event or Task if you are unsure whether an earlier request was successful.
