Use Harmonise with WhatsApp
Link a WhatsApp conversation, create Events and Tasks from messages, and receive selected planning updates.
Before you begin
- A signed-in Harmonise account
- WhatsApp on a device where you can open or copy the linking command
- A Harmonise environment with WhatsApp messaging enabled

WhatsApp lets you capture a planning request in a familiar conversation and send selected Harmonise updates back to the same linked chat.
It is useful when a Task occurs to you away from your planning screen or when an Event needs to be captured before the details disappear into the day. Harmonise interprets the message, asks when something is unclear, and waits for you to confirm the proposed Event or Task.
WhatsApp is a transport into your Harmonise account, not a separate calendar. Your Plans remain in Harmonise and follow the same ownership, calendar, timezone, and validation rules as Plans created in the app.
What does the WhatsApp integration do?
This guide covers the current conversation features and the planned guided input:
| What you want to do | What happens in WhatsApp |
|---|---|
| Create an Event or Task with natural language | Harmonise interprets the message, asks for missing details, and shows a preview to confirm. |
| Create an Event or Task with a guided command | Coming soon: start a step-by-step flow with /create_task or /create_event. |
| Receive an Inbox notification | An eligible Harmonise update can be delivered to the linked chat without changing its Inbox state. |
| Receive a daily summary | Harmonise sends a scheduled view of relevant Events, Tasks, and the active Inbox count. |
Use the Harmonise app to browse, edit, complete, delete, or reorganize existing Plans when the conversation does not offer that action. WhatsApp is good at capturing one clear thought; it is less good at displaying the whole week.
Link the right conversation
Harmonise links a WhatsApp identity and chat through a short-lived, single-use command. A phone number, contact name, or message text alone is not proof of a Harmonise identity.
The command has this shape:
link example-link-token
Your real command contains a temporary token created for your Harmonise account and WhatsApp. Send it only to the intended Harmonise WhatsApp conversation. Do not share or forward it. It expires, and it cannot be reused after a successful connection.
A complete WhatsApp example
Imagine remembering that the dentist needs to be called tomorrow:
You: Create a Task to call the dentist tomorrow at 9:00 AM.
Harmonise: Create Task “Call the dentist,” scheduled tomorrow at 9:00 AM on Personal? Reply Confirm or Cancel.
You: Confirm
Harmonise creates the Task only after confirmation. If “tomorrow” is unclear because your account timezone needs attention, or the calendar is missing, it asks for the detail before presenting a final preview.
Connect WhatsApp
On mobile
- Open Settings and choose Messaging integrations.
- Choose Connect WhatsApp.
- Choose Open WhatsApp when it is available. Otherwise, copy the displayed
linkcommand. - Send the command to the intended Harmonise WhatsApp conversation before it expires.
- Return to Harmonise and choose Check connection when shown. The connection dialog can also check while it remains open.
- When WhatsApp is active, review the conversation, Inbox notification, and daily-summary settings.
If Open WhatsApp is unavailable, the current Harmonise environment may not have a WhatsApp destination configured. A command alone cannot make an inactive WhatsApp delivery service available.
On web
- Open Settings and find Messaging integrations.
- Choose Connect WhatsApp.
- Choose Open WhatsApp, or copy the displayed
linkcommand. - Send the command in the intended WhatsApp conversation before it expires.
- Return to the connection dialog and choose Check connection.
- After the card shows an active connection, choose which conversation features to enable.
You can copy the command from web and send it from WhatsApp on your phone. Keep the command private while moving it between devices.
Choose natural language or a guided command
There are two ways to describe a new Plan in a messaging conversation:
| Input style | Best for | Availability |
|---|---|---|
| Natural language | Capturing a complete thought in your own words. | Available now where conversation commands are enabled. |
| Guided command | Entering one detail at a time in a predictable sequence. | Coming soon. |
Coming soon:
/create_task,/create_event,/help,/confirm, and/cancelare the planned guided commands. They are documented here so the intended workflow is clear, but the current WhatsApp integration does not yet process them as deterministic commands. Until they are released, send a natural-language request and reply to the confirmation offered by Harmonise.
Create with natural language
Turn on Create events and tasks when you want Harmonise to interpret natural-language planning requests from the linked conversation.
Current requests should describe a new Event or Task. Useful examples include:
- Create an Event called Parent-teacher meeting next Tuesday from 4:00-4:30 PM.
- Add a Task to collect the prescription tomorrow.
- Create a Task to submit the expenses by Friday at 5:00 PM on my Work calendar.
Harmonise applies the same calendar, timezone, recurrence, reminder, ownership, and validation rules used in the app. The linked WhatsApp identity cannot bypass those rules or act as another Harmonise user.
Requests to edit, complete, delete, or search existing Plans may not be supported by the current conversation flow. Use the app when Harmonise says a request is unsupported.
Create with guided commands
When guided commands become available, type the command as a normal WhatsApp
message. The command names match Telegram for consistency. Use the lowercase,
underscore form: /create_task, not /createTask.
| Command | Intended result |
|---|---|
/create_task |
Start a guided Task creation flow. |
/create_event |
Start a guided Event creation flow. |
/help |
Show the commands available in the conversation. |
/confirm |
Create the Plan shown in the active preview. |
/cancel |
Cancel the active guided flow or preview. |
Guided Task flow
- Send
/create_task. - Enter the Task title.
- Choose the calendar that should own the Task.
- Add a due or scheduled date and time when needed.
- Add optional details such as a reminder or recurrence when offered.
- Review the preview, then reply Confirm or send
/confirm.
Guided Event flow
- Send
/create_event. - Enter the Event title.
- Choose the calendar that should own the Event.
- Choose a timed or all-day Event, then provide its date and time details.
- Add optional details such as a location, reminder, or recurrence when offered.
- Review the preview, then reply Confirm or send
/confirm.
WhatsApp does not provide Telegram’s bot-command menu, so the commands are sent
as ordinary text messages. The guided flow is intended to keep one creation
request active in a linked conversation. Send /cancel before starting another
command when you no longer want the current request.
Clarification, confirmation, and cancellation
If important information is missing, answer Harmonise’s clarification question in the same conversation. The answer continues the active request.
Before a supported Event or Task is created, review the preview carefully. Check the title, calendar, date, time, timezone, and whether Harmonise understood an Event or a Task.
Reply Confirm to create the proposed Plan or Cancel to stop it. After
guided commands are released, /confirm and /cancel will provide the
equivalent command input. A free-text command reference does not prove
ownership; Harmonise resolves confirmation through the active linked
conversation and request.
An expired or cancelled request cannot be confirmed later. Send a new request when you still want the Plan.
Inbox notifications
Turn on Inbox notifications to receive eligible Harmonise planning updates in WhatsApp. Receiving a message does not mark the corresponding Inbox item as read, dismissed, accepted, completed, or otherwise acted upon.
Open Harmonise when an update needs an action that is not offered safely in the conversation.
Daily summary
Turn on Daily summary and choose a Summary time to receive one summary for the relevant local day. Harmonise uses your account timezone and the local summary time saved for this WhatsApp integration.
A summary can include relevant timed and all-day Events, planned or due Tasks, overdue work, and the active Inbox count. It does not change the underlying Plans, even if provider delivery is delayed.
If the summary arrives at an unexpected hour, check your Harmonise timezone before repeatedly moving the summary time.
How WhatsApp delivery differs
WhatsApp delivery passes through a dedicated Harmonise messaging service with an active WhatsApp session. That service is separate from the main Harmonise app and can be unavailable even when your account and calendars work normally.
If the WhatsApp service loses its provider session, creating another link token may not repair delivery. Wait for the service to recover or contact the support route for your Harmonise environment. Do not repeatedly reconnect or recreate Plans while the result is uncertain.
After you connect WhatsApp
The WhatsApp card in Messaging integrations shows the current connection and its preferences. You can change conversation commands, Inbox notifications, daily summaries, and summary time without linking again.
Only the active linked conversation can use protected Harmonise commands. Knowing the linked phone number or display name does not give another person access to your account.
Privacy and account boundaries
Messages sent through WhatsApp can contain private planning information. Avoid sending passwords, access tokens, financial account details, or unrelated secrets.
Harmonise uses the linked identity to run allowed actions under your account. WhatsApp transports messages; the Harmonise backend owns interpretation, confirmation, authorization, and the resulting Event or Task.
Disconnecting WhatsApp prevents new protected commands from that link. It does not delete your Harmonise account, existing Events, existing Tasks, or unrelated settings.
Repair or disconnect WhatsApp
If the card shows Needs attention, create a new WhatsApp linking command and reconnect. An expired or already-used command cannot repair the connection.
Choose Disconnect when you no longer want that conversation linked or when you want to use a different WhatsApp identity. Pending outbound messages for the old connection may be cancelled. Create a new link before using WhatsApp again.
Common problems
Open WhatsApp is unavailable
The current Harmonise environment may not have a WhatsApp destination configured. Copy the command only when you already know the intended Harmonise conversation, or wait until WhatsApp is enabled for your environment.
The linking command expired
Return to Messaging integrations, choose Connect WhatsApp, and create a new command. Do not edit or try to reuse the expired token.
I sent the command, but the connection is still pending
Make sure you sent the complete link command to the intended conversation.
Return to Harmonise and choose Check connection. If no response arrives, the
WhatsApp delivery service or its provider session may be unavailable.
Harmonise did not create my Event or Task
Check whether Harmonise asked for clarification or is waiting for Confirm. If delivery stopped after you confirmed, refresh Harmonise before creating the Plan again. The result may have been saved even when the WhatsApp reply was delayed.
/createTask or /create_task was not recognized
Guided creation commands are coming soon. Until they are released, send a
natural-language request instead. When guided commands become available, use
the shared /create_task spelling so Telegram and WhatsApp behave consistently.
The daily summary arrived at the wrong time
Check the timezone in Harmonise, then review Summary time on the WhatsApp integration. The schedule follows your Harmonise timezone rather than a device- specific WhatsApp timezone.
WhatsApp stopped responding while Harmonise still works
The separate WhatsApp delivery service may have lost its provider session or be temporarily unavailable. Keep using Harmonise directly and wait for the service to recover. Reconnecting your account repeatedly does not restore an unavailable provider session.
I received a duplicate-looking message
Refresh Harmonise before sending the same request again. Provider delivery can be retried, while Harmonise uses message and command identities to avoid duplicating the underlying Event or Task.
